Who are delegation trips for?

Industry associations, chambers of commerce, regional development agencies and the management teams of individual companies. We organise both group programmes and tailored trips for a single company.

What does the programme include?

Mapping and contacting target companies, booking meetings, company visits and factory tours, expert presentations, interpreting where needed, and practical logistics: transport, venues and scheduling.

The programme is built around the objective – whether that is gathering market intelligence, meeting partners or comparing technologies.

How early should delegation trips be booked?

Ideally several months in advance. Company calendars fill up early, and factory visits often need internal approval. During trade fair weeks, accommodation is also scarce.

Can the programme be combined with a trade fair visit?

Yes, and that is often the most effective format. A day at the fair gives a broad overview of the industry, and company visits built around it add depth. See also our trade fair services.

Do you also handle the reporting?

Yes. After the trip we deliver a written summary: whom you met, what was discussed, the next steps and who is responsible for what. A report for funders or members is also possible.

How long does a delegation trip usually last?

Two or three working days is the most common length. In practice, a day has room for two or three proper company visits once travel time and lunch meetings are included. A trip combined with a trade fair often lasts a day longer, because the stand tour and pre-booked meetings take their own time.

We always build the programme around the objective: an exploratory trip is shorter than one intended for negotiating with partners you already know.

What do delegation trips cost?

The programme work is priced separately from travel costs. Building the programme – mapping targets, outreach in the local language, booking meetings, scheduling and the follow-up report – is agreed as a fixed project fee that depends on the number of meetings and how new the industry is to us.

Flights, hotels and local transport are paid by the participants or directly by the client to the providers. Interpreting and on-site language support are optional extras. You receive a written proposal before we start, so there are no surprise invoices.
